Make your Xero invoices look the way they used to.

Choose a few options, download the file, and add it to Xero as a branding theme. The address sits where a window envelope shows it, the amount due is normal size, and you can keep a payment slip at the bottom.

Three steps: 1 set the options below, 2 click Download, 3 follow Put it into Xero.

Paper and envelope

The sheet is folded in three with the top third facing out. Measure your own envelope if the address does not sit in the window: windows vary by a few mm between brands and there is no single standard position.

Content

For example "Tax Invoice" if your tax office asks for that wording.

Read in this page and placed top left in the file; it never leaves your computer. Without one, the space is left free and you can insert a logo in Word (Insert > Pictures). Keep it small: Xero takes themes up to 1 MB.

Put it into Xero

  1. In Xero, click your organisation name at the top left, then Settings.
  2. Click Invoice settings.
  3. Click the small arrow next to New Branding Theme and choose DOCX.
  4. Give the theme a name, for example Classic, and click Save.
  5. On the new theme, click Upload and choose the file you downloaded. Put it under Invoice only; leave the other documents as they are.
  6. Open any invoice, choose your new theme under Branding theme, and click Preview.
  7. Happy with it? Back in Invoice settings, click Options on the theme and Set as default.

This page never asks for your bank details. The invoice prints the line "Please quote the invoice number with your payment" under the totals and on the slip. To put your own payment details there, open the downloaded file in Word, type them in front of that line, save, and then upload.

Free. Nothing you type here is sent anywhere; the file is made inside your browser. Each download adds one to an anonymous counter, nothing more. Not made by or connected with Xero. Last checked against Xero in October 2026. Some organisations still see "Standard (Legacy)" in Xero's New Branding Theme menu; that is Xero's old layout and needs no file.

Which Xero fields the theme uses

Xero fills these merge fields when it makes an invoice. If one prints blank in Xero's preview, open the file in Word, press Alt+F9 to see field codes, and compare with the sample file Xero offers when you create a custom .docx theme.
